// use case

Multi-process implementation

After a merger of three distribution businesses, eight core processes were made transparent and harmonised — across five source systems and 100 million sales order items a year.

// the client

Three businesses, one way of working.

After the merger of three distribution businesses, the client wanted transparency into process performance so that the processes of different regions and source systems could be harmonised. That became a process mining initiative for continuous improvement.

DataLane implemented the client’s eight core processes and guided the process mining journey, turning that transparency into concrete improvement opportunities.

// challenge

Dispersed data, and an enormous amount of it.

Process performance was hard to see, for two reasons. The data was dispersed across several IT systems — SAP ECC, SAP SuccessFactors, ProMax, Salesforce and ServiceNow — and there was an enormous amount of it: over 100 million sales order items a year.

Connecting those sources is demanding, and harmonising them so regions can be compared like for like is harder still. The volume also meant the implementation had to be efficient enough to keep a strategically useful timeframe in scope.

// solution

Best practice found in the business itself.

DataLane identified the best-practice process flows among the different regions. Those flows later helped the company ensure harmonisation across three identified markets.

The DataLane Performance Package was deployed successfully, resulting in optimal use of the data. That doubled the volume Celonis could hold and improved overall system performance, so analysis could cover a meaningful period rather than a sample.

What made it hard to fix

  • Five source systems, none of them aligned
  • Over 100 million sales order items a year
  • Three regions, each with its own way of working
// value & adoption

What it delivered — and what made it stick.

Business value

  • Shorter delivery times and earlier payment, by optimising the order-to-cash process.
  • Twice as much analysable data in Celonis after the extraction performance work.
  • The patterns behind process deviations became visible.
  • Three markets working to the same best-practice flows.

Adoption

  • Eight core processes live in Celonis, not a single pilot.
  • Best-practice flows drawn from the regions themselves, so teams recognised their own work.
  • A guided process mining journey rather than a hand-over at go-live.
  • Improved extraction performance keeps the platform usable as the data grows.
